    Your privacy and the associated protection of personal data are important to us. For this reason, our business activities are conducted in accordance with the applicable legal provisions on data protection and data security [e.g. the Basic Data Protection Regulation (Datenschutzgrundverordnung DSGVO), the Federal Data Protection Act (Bundesdatenschutzgesetz BDSG) and the Telemedia Act (Telemediengesetz TMG)]. 

    We are aware of the importance of the data you entrust to us and would like to inform you about this in the following: 

    • for which purposes your (personal) data is collected, processed and used, 
    • how we handle and protect your data 
    • to whom we make the data available and 
    • how you can exercise your rights. 

    Please read the following explanations carefully.

    If another than the above-mentioned body is the “responsible body” in the sense of the Basic Data Protection Regulation (Datenschutzgrundverordnung DSGVO) or the Federal Data Protection Act (Bundesdatenschutzgesetz BDSG), you will be explicitly and separately informed, unless this is obvious. 

     

    2 Use of the application (App) 

    Personal information is only collected if you provide it to us voluntarily, for example, when you register with salesforce.com, Inc. Within the application, SERVICE 1 does not collect any personal information that is transferred to us without your consent. Usage tracking and crash reporting only takes place if you agree (see below). 

    For these functions we use the AppCenter SDK, which generates installation IDs and logs the sessions (e.g. session duration, device information, OS information etc.). 

    2.1 Login with your Salesforce or Microsoft user data 

    In order to use parts of our service, you need to log in via your Salesforce or Microsoft account. Additional registration for our service was already done by your administrator. Any information you enter will only be shared with the services you use (e.g. the identity provider you use to login). 

    2.2 Access to camera and memory 

    The application requires access to the camera and the memory of your device. Access is only necessary to read barcodes and create or select photos from your gallery and transfer them to the remote sites you select. 

    Furthermore, we would like to point out that your photos – when using geotagging – may contain geographical coordinates of the shooting location. This app does not use this geotagging data. If you want to deactivate geotagging, you can usually make changes in the settings of the device or the photo app. Please contact the manufacturer for information on how to enable/disable geotagging. 

    2.3 Transmission of error information 

    In case of an error, the application collects data about the internal state of the program and other information such as version number, device type, operating system used and time of the error. After restarting the application, you can decide whether to have this data transferred to us for analysis so that we can correct the error and improve the application. 

    As a service for this function we use AppCenter (https://docs.microsoft.com/en-us/appcenter/sdk/data-collected, sections ‘General and Diagnostics) 

    The setting for transmitting error information can be found under ‘Settings’. 

     

    2.4 Transmission of Log and Database Information 

    The application collects basic data in the background about the program’s operation and other information such as version number, device type, operating system used and time of the error. The app’s ‘Diagnostic Report’ menu item allows you to view the data and send this information to our support team by e-mail for analysis so that we can correct errors and improve the application. 

    Additionally you can send the content of your local database file to your background system when requested by our support by checking the corresponding option. 

    The error descriptions,logging and database information may contain personal data and data about the content used in the application. In any case, we use this data exclusively for error correction, stabilization and optimization of the app. 

    The use of this function is usually on request of our support team. But you can also use this function to actively send a diagnostic report after a program error. Please also use the possibility to add an information text with a description of the error. 

    2.5 Usage Tracking 

    In order to improve the application continuously, it contains a function which analyzes the use of the functions pseudonymously (such as used functions, dwell time on individual pages and performance measurements). 

    The function is only active after your explicit consent. The data is used exclusively for the improvement of the application. A combination of user information and pseudonymized usage data does not take place. 
    If you do not activate the function, usage data will neither be collected nor transferred. 

    The usage tracking can be changed at any time under ‘Settings’.

    2.6 Sending notifications (Push Notifications) 

    You will be informed about current events by means of push notifications. The application uses the AppCenter service (https://docs.microsoft.com/en-us/appcenter/push/rest-api) and the push notification frameworks of the operating system manufacturer for this purpose. 

    The exact events that lead to notifications and the information that is sent with them are defined in your background system. If you have any questions, please contact the person responsible for your system. 

     

    2.7 Duration of data usage / storage 

    A deletion of personal data is carried out, provided that legal storage obligations do not contradict this, if: 

    • a justified claim for deletion is asserted 
    • the data is no longer required to fulfill the purpose for which it was stored, or 
    • the storage is not permitted for other legal reasons. 

    3 Place of data use 

    The data processed in our application is usually processed on servers and infrastructures within Germany or the European Union (EU). SERVICE 1 is based on the Salesforce platform, therefore Salesforce is to be understood as a contract processor. A reference to “Salesforce” is a reference to salesforce.com, Inc. and its affiliates that are involved in the collection, use, transfer, and other processing of personal data.     Your personal information may be transferred to and processed by Salesforce as part of the processing. Such processing may also take place outside the EU. Your personal data may therefore be processed outside your jurisdiction. Processing in countries that are not subject to an EU adequacy decision is also possible. This means that data may not be subject to the same level of data protection as within the EU.  

    GMS has concluded an order processing contract with Salesforce in accordance with article 28 DS-GVO. GMS has also concluded standard contract clauses with salesforce.com and thus ensures a correspondingly adequate level of data protection for your personal data when it is transferred to salesforce.com.     4 Data security and secure data transmission 

    We would like to inform you that security gaps can occur when connecting terminals via Bluetooth. A complete protection against access by third parties is therefore not possible for us. We secure our IT systems (including the application) against unwanted access by means of so-called technical and organizational measures (TOM): access, disclosure, input, loss and distribution as well as destruction and modification by unauthorized persons. 

    Your personal data is transmitted securely over the Internet using the Transport Layer Security Standard (TLS encryption). 

     

    5 Rights of data subjects 

    You can object to the use of your data at any time with effect for the future. Furthermore, you can demand that incorrect information about your person be corrected if you are unable to make a change yourself. Under the legal requirements, you can of course find out within the scope of your right to information what data we have stored about you and for what purpose.

    6 Changes to the privacy policy
